Role Summary
The Conveyancing & Reception Coordinator will serve as the primary front-line contact within our downtown office, providing professional reception duties, data entry, and assisting the conveyancing process for our real estate transactions. This role is critical in maintaining smooth, efficient operations and upholding the high standard of service that Century 21 Masters is known for.

Key Responsibilities
• Greet and welcome all clients, visitors and REALTORS® in a professional, friendly manner at the front desk.
• Answer and route incoming phone calls, respond to general inquiries, and take messages when required.
• Maintain the reception area — ensuring a clean, welcoming environment.
• Support the brokerage’s conveyancing and transaction-coordination team by:
• Entering and maintaining accurate transaction data in the broker/office system (e.g., listings, offers, status updates).
• Preparing standard conveyancing documentation and checklists (under direction from the conveyancing lead).
• Monitoring files for completeness and communicating missing items or deadlines to relevant parties.
• Liaising with legal/lawyer offices, title companies, clients and internal sales team as needed.
• File and archive electronic transaction records in accordance with brokerage and regulatory requirements.
• Coordinate courier or document-delivery tasks when needed.
• Assist with ad-hoc administrative tasks as requested by the brokerage leadership (e.g., scheduling meetings, assisting agent onboarding, scanning documents, ordering office supplies).
• Uphold confidentiality, professionalism and compliance with all relevant real-estate regulations and brokerage policies.
Required Qualifications & Skills
• Minimum 2 years’ experience in a professional reception / administrative role, preferably within real-estate, legal or professional services.
• Strong data-entry skills, high attention to detail, and experience working with transactional systems or databases.
• Excellent interpersonal and communication skills — comfortable interacting with clients, REALTORS®, legal professionals and internal staff.
• Proficient in Microsoft Office (Gmail, Word, Excel) and comfortable learning new software tools.
• Ability to prioritise multiple tasks and manage deadlines in a fast-paced environment.
• High degree of reliability, professionalism, and a service-orientation aligned with our firm’s culture.
• Understanding of real-estate conveyancing processes (an asset but not mandatory).
• Ability to maintain strict confidentiality and handle sensitive information.

Employment Details
• 40 hours/week, Monday through Friday 8:30 - 5:00 pm
• Downtown Edmonton location (in-office required).
