The Enrollment Specialist will report to the Contact Center Manager. The successful candidate will be responsible for providing live chat and contact form coverage for incoming inquiries providing guidance and direction to eligible patients admitting them to our appropriate programs and locations.
Duties will include, but are not limited to:
Providing phone support via live chat and contact form coverage for incoming admission inquiries. This includes sales of programs, pre-admission assessments and answering pre-admission/general questions from potential patients, family members or professional referents.
When appropriate, provide treatment recommendations from our network of treatment centers. If the caller (potential patient, family member or referent) is not appropriate for Our program, being prepared to refer out, based on presenting issues, to established and approved referral sources.
Tracking and documenting (in the CRM) the disposition of potential patients from initial call, handoff to facility, up to and including admission, serving as support for facility Intake Coordinators.
Conduct timely follow-up as needed to ensure admission.
Maintain a professional and positive attitude when working with callers/potential patients, members of the call center team, clinical and/or facility Intake Department.
Identify and report new referral source opportunities.
Submit weekly reports.
Performance is measured by the number of inquiries handled and admissions to the facility.
Must be able to work some weekends and evenings
Other duties, as assigned.
Qualifications and Experience:
Minimum 1 year inside sales phone experience, preferably in the healthcare field.
Knowledge of Sales Force is preferred.
Knowledge of managed care and insurance as it relates to mental health benefits is a plus.
Must be computer literate.
Skills and Competency:
Must possess the ability to quickly assess (by phone) the acuity and needs of potential patients and make treatment recommendations based on clinical presentation.
Must be able to assess the risk of self-harm.
Must possess a strong understanding of addiction, commonly abused substances and their classification, co-dependency, dual diagnosis and psychiatric conditions.
Must have an understanding of treatment modalities, levels of care and medication used to treat these disorders.
Must be able to effectively communicate the benefits of residential treatment.
Must possess the ability to work with referring professionals to coordinate patient admission.
Must possess strong computer, phone and typing skills.
Must be able to multi-task and work well within a team.
Must possess the ability to work effectively in a fast paced environment while maintaining dedication to customer service.
Must have strong negotiation skills and be comfortable with assessing/discussing the ability to privately pay for treatment.
In addition, the candidate must have the skills and competency to communicate with people at all levels of the organization. She/he must be agreeable and professional at all times while being able to gather information and refer it to the appropriate member of the team. The ability to work under pressure, while adhering to tight deadlines and prioritizing conflicting demands is essential.
The successful candidate will have the ability to listen actively when spoken to and effectively communicate their thoughts to others. She/he will be sensitive to religious, ethnic and cultural differences in others and show respect and empathy. She/he will have the ability to work alone but also as part of a team and will actively seek out advice and/or guidance in order to solve problems. The candidate will have good time management skills and will actively seek to accomplish tasks and be able to use a variety of methods and ideas to solve problems while also being open to suggestions from others in order to find solutions.
